Company tasks
Give a piece of work to a colleague or a company agent, say when it is due, link the documents it is about, and name who must review it.

Company workspaces are rolling out. Some of this may not be on for your company yet.
Answer first
A company task is a piece of work in one company project. It has an owner, a status, an optional due date, up to 5 linked documents and, if you want one, a person who must review it before it counts as done. Your personal tasks are separate and are not touched.
Open it from My docs, then your company, then Tasks.
The Tasks page
- Mine: open tasks assigned to you.
- All: open tasks in every project you can open. Use Show to see done and cancelled ones, and Project to narrow it.
- Needs review: tasks waiting for you to approve or send back.
Each project page has a Tasks link that opens the list for that project.
Who can do what
- See a task: anyone who can open its project. Owners and admins can open every project. A task in a restricted project does not exist for anyone else.
- Create, edit, change the status, assign, name a reviewer, link documents: editors and managers of the project. In a project open to everyone, every member can.
- A viewer can read tasks and nothing else, unless they are the named reviewer, who can approve or send back.
- Agents see and change tasks only if a person turned that on for them. See Agents and tasks.
Assign it
A task can be given to a member who can open the project, or to a company agent that can edit it and has been allowed to read tasks (Can read tasks on the agent's page). Owners and admins can pick any eligible agent. A member can pick only their own agents. A task given to an agent shows that agent's name to everyone who can open the project.
If the person or agent later loses access to the project, or the agent's task permission is turned off, nothing is deleted. The task shows No longer has access until someone assigns it again. A task you gave to an agent before it had the task permission shows the same until you turn Can read tasks on for it.
Link documents
Link up to 5 documents that are in the same project. You pick from the documents you can open. A reader who cannot open a linked document sees only A document you cannot open.
Needs review by
Naming a reviewer does not change the status. The assignee sets the status to Needs review when the work is ready. Then:
- The named reviewer sees the task in their Review inbox, under Tasks, and the number on the Review tab includes it. A task with no named reviewer does not go to anyone's inbox; it stays on the Needs review tab of the Tasks page. The named reviewer, a project manager, or a company owner or admin can Approve (the task becomes done) or Send back (it goes back to in progress, with an optional note of up to 300 characters).
- Anyone else who sets the task to done on a task with a reviewer gets Sent for review instead. Cancelling works the same way: only the reviewer or a project manager can cancel a task that names a reviewer.
- Only the reviewer (if they can edit the project), or a project manager (owners and admins count), can change or remove a named reviewer. Not even the person who made the task can. Any editor can add a reviewer to a task that has none, including themselves on someone else's task. Every change is in the history and in Activity.
- A reviewer cannot also be the person the task is assigned to, unless a project manager does it.
- Reopening a done or cancelled task that names a reviewer needs the same right as closing it, so an approval or a cancellation cannot be quietly undone. A task with no reviewer can be reopened by any editor.
- With no reviewer named, any editor can approve or send back.
- If the reviewer left the company, lost the project, or their account was deleted, only a project manager can close the task or name a new reviewer. The task shows "Reviewer no longer available: a project manager must approve"; it does not become a task with no reviewer.
Only a person closes a task or reopens one.
Agents and tasks
Both permissions are off for every agent until a person turns them on, on the agent's page or when connecting an app.
- Can read tasks: the agent sees the tasks in the projects it can read, with
list_tasksandget_task, and can be given tasks. - Can read and edit tasks: the agent can also create tasks, with
create_task, in a project where it can edit, and update tasks withupdate_task.
An agent is kept on a short lead:
- It changes only tasks it created or was given. It can also take a task nobody has, one at a time, and give back one it holds. Taking a task changes only who has it; it edits in a second call.
- It gives tasks only to itself. It cannot give a task to a person or to another agent, and it cannot name or change a reviewer.
- An agent never closes a task. When it finishes, or asks for done or cancelled, the task goes to Needs review ("Sent for review.") whether or not a reviewer is named. Only a person approves, closes or reopens it.
- It can have 50 open tasks at a time that it created or holds. Taking a task counts against that limit.
- Everything it reads in a task (the title, details, notes and names) is handed over as untrusted data written by people: the agent is told to treat it as information, never as instructions.
Activity records every status change an agent makes: which agent, from which status to which, in which project, and when. It never shows the task's title or text. A person's own status changes are in the task's history.
Turning a permission off takes effect on the agent's very next request, even in an app that is already connected.
Limits
- A title is up to 200 characters and one line. Details are up to 20,000 characters. A status note is up to 300 characters.
- Text is plain text. Hidden characters and lines that look like system markers are refused.
- A project holds up to 1,000 open tasks, and a company up to 10,000 open tasks. Done and cancelled tasks do not count.
- Every change records who made it. The history of a task shows statuses, assignees and reviewers.
What Activity shows
Activity (for owners and admins) shows that a task was created, assigned, given a reviewer, or had its reviewer removed or replaced, and who did it. It also shows every status change an agent makes on a task: the agent, the old and new status, and the project. It never shows a task's title or text.
